How to make an invoice – A detailed overview

It may look simple but creating an invoice can actually be quite a daunting task. After all, you want to make sure that you did send the product (Or provided the service) and the other party received it.

On the other side of the spectrum, the importance of an invoice is uncanny. Especially when it’s time to get a refund for a faulty product or an item not received in the first place. If you’ve ever been in this situation, you already know the importance of it.

When you’re designing an invoice, you want to make sure that everything is made out clearly for both parties. At least that’s what you should find in a true professional invoice maker. Although there are usually two people involved, the buyer and the seller.

There could be more people involved than that. If so, make sure that anyone who was part of the transactions clearly laid out in your invoice. Make sure the payment break down is all proper. The objective of an invoice is to be clear and it’s usually something given before your payment.

It’s a record that basically means you are owed money and it better be paid fully by your client or customer. As a small business owner or freelancer, the last thing you would want to do is chase your client for your payment. When designing an invoice, you do want to make sure there are certain things that are always there.

Invoice Date

Sending an invoice? Well, one of the first things and the downright necessary ones is putting on a date. After all, if your client doesn’t know when to pay you, that is just another excuse for them to delay your payment. Trust us, the last thing you want to do is giving a reason for them to delay your payment. So make sure you put the date of issue. You’d be surprised some of the tricks clients can pull to avoid paying you. Never mess around when it come to your money.

Invoice Due Date

When it comes to receiving your invoice in a timely manner, nothing will force your customer or client to pay faster than a due date. If you were smart, you probably mentioned a late fee charge if the payment wasn’t sent on time etc. Remember this is business. You are not there to be friends or are doing someone a favor. Someone specifically hired you or got sold in your product or service because you deliver. Be very vigilant when it comes to getting paid. So adding a due date is a must.

Invoice Logo

Most business owners, the self employed or freelancers use our invoice generator to look professional. Well if you don’t add a logo, that’s like going to a “white party” without wearing anything white. Nobody will take you seriously and you’d look unprofessional. Using our invoice generator, you can add your logo by simply clicking on the logo box and uploading one, or you can drag and drop one. Our invoice generator will automatically resize it at 200px. This will keep your invoice lightweight (Won’t take any space when you email it) and it will make you look like a true pro business.

Company Info

Next thing you want to do is add these three specific things about your company.

– Company Name
– Company’s Address
– Company’s contact info

Company Name

Under your company name, you need to add the exact name your client or customer knows you by or the same one used on the contract. That is what will make your invoice a “legal” document. Most freelancers are unaware of this simple fact and end up losing when the client decides to not follow through on their promises.

Remember this simple lesson …

If it’s not I the contract, it doesn’t exist.

So make sure you use the exact name, address and contact info as used in the contract.

In addition, for contact info, make sure an email and phone number (Can be company’s or your personal one) here.

Invoice Title:

You can leave this as it is unless you want to call it like “John’s Invoice” or “Tara’s Invoice”. Something a lot of freelancers do but we highly discourage it. It looks unprofessional and your potential client might be dealing with a whole bunch of people with the same name.
Unless it’s something casual that you are sending to a friend then avoid this practice like the plague.

Invoice Number

It’s more of a standard practice and further enforces that your invoice is nothing to mess with. We suggest you don’t call it invoice 0001 even if they are your first client ever. Change that number to whatever you see fit but make sure you record it. In case you may need it in the future.

Your Address

An address on an invoice solidifies it’s authenticity. Plus when someone is fulfilling a lot of invoices or are just plain busy, the last thing they want to do is spend extra time when releasing your payment.

If the client remembers your address, they can quickly just glance at the payment and boom! Your invoices just got fulfilled. So where should you put your address? Well, right under your business name.

Business Name

Drum roll please… and the most important element on an invoice award goes to … you guessed it, it’s the name of your business.

After all, you can charge the client whatever you want but if your business name isn’t there? Who the heck are the sending their payment to right?

So no matter what, your business name is essential. If you take a look at our invoice maker, you’ll see what we are talking about.

We made sure your business name stands out right away.

Invoice Logo

If you are serious about looking professional, you need to have an invoice logo. There is no other way around it. No matter how detailed your invoice is, if it’s missing your logo, It’s just going to look amateur as you know what.

Believe it or not, the more professional your invoice looks, the faster it’s going to get fulfilled. To add your logo on our Invoice Maker, simply tap on it, or dragon drop your logo on there. Our logo maker will automatically resize it and make your logo look just right.

EIN Number

No matter who your client is, make sure you show your EIN number. In fact, if your client is asking you for one, that is a major red flag. The main reason is every business that is legit, and, legal always ask for an EIN number. Also don’t forget to actually have one yourself. If you’re getting into business, to pay your taxes you don’t need your EIN number. Obviously we are just giving some general advice on taxes but please refer to your lawyer for more.
